PLANNING / TEAM CHANGES

What should you do if a supplier cancels?

First confirm in writing which service has been cancelled and what has already been completed, then appoint one replacement coordinator. Check the effects before rebuilding the programme. A clear, workable event matters more to guests than reproducing the original idea at any cost with an unsuitable replacement.

Write a short factual summary

Record the date, time, setting, cancelled task, prepared materials and relevant team contacts. Compare this with earlier arrangements and retain correspondence. If a replacement is proposed, ask who they are, what they will do and on what conditions. A proposal is not the same as your acceptance.

02 /

Identify what the event genuinely needs

Separate essential tasks from optional elements. Losing a short musical set is different from having no one responsible for sound. You might remove the performance while assigning the technical role to a competent team. For a wedding or conference, check effects on the schedule, venue access and other suppliers.

03 /

Send candidates the same precise brief

Specify the date, city, language, working hours, equipment and response deadline. Confirm actual availability and relevant experience. A catalogue listing or willingness to travel does not confirm a free date. Do not circulate guest lists or personal details to candidates who do not need them to assess the task.

04 /

Confirm the revised working plan

Agree the replacement’s scope, price, arrival time and on-site contact in writing. Update the shared schedule and tell affected team members. Earlier payments and the consequences of cancellation need separate discussion against the particular arrangements; this planning guide promises neither compensation nor a particular dispute outcome.
