The public profile and preview
You are creating a public profile. Once it is published, your name or team name, service description, photographs, working locations and the contacts you select will be accessible to internet visitors. Third parties may view, copy and save them; search engines may index the pages.
Do not publish information you wish to keep confidential. Public availability does not permit third parties to use data or materials unlawfully.
Sign-in and non-public information
Sign-in uses ChatGPT. The account identifier, email address and available display name associate a workspace and its records with the owner. GILVEM does not receive the ChatGPT password. A sign-in email, drafts, enquiries, consent history and administrative records do not become public profile content. Phone numbers and contact emails are displayed only after the owner expressly selects them. Do not submit passports, visa scans or other documents for ordinary registration.
Purposes and separate permissions
The workspace and drafts support preparing services; publication presents them publicly; enquiries enable communication about a specific event; reports and administrative history support case handling and service protection. Information is used as needed for each purpose. Publication consent covers the information and materials shown in the preview. Advertising permission is optional, separate and not selected in advance. Submitting an enquiry does not subscribe you to marketing.
Server storage and access
When server saving succeeds, workspace and listing information, selections, enquiries, reviews and consent records are stored in Cloudflare D1. Uploaded and processed photographs are stored in Cloudflare R2. The server checks access: owners can access their private information, recipients can access enquiries addressed to them, and authorised administrators can access information needed for review and administration. Public responses contain only the permitted part of published listings. Hidden materials must not remain accessible through an old upload link.
Photographs and external links
Post only materials for which you hold the necessary rights and permissions from the people depicted. Uploaded photographs are checked and converted for display; unnecessary technical metadata is removed during processing. Do not include documents, other people’s contacts or unnecessary private information. External portfolios and videos open when you choose to visit them; external services have their own rules. A real specialist’s face and work are not replaced by fictional images.
Enquiries and email notifications
An agency enquiry may include a name, email, event format, location, date or period, guest numbers, budget, message and selected listings. This information is stored to handle the enquiry. Agency enquiries are addressed to gilvem.events@gmail.com. When email delivery is configured, Resend receives the information needed to notify the agency, using a sender authorised by the email service. Saving an enquiry, queuing a notification, email-service acceptance and sending errors are recorded separately. Service acceptance does not confirm actual receipt. The interface states when email delivery is not connected. An independent provider can access an enquiry addressed to them in their workspace; the enquiry does not form a service contract.
Consent history and protection
The server records the edition and language of confirmed terms, accepted clauses, the associated action, time and a control value for the related information. Administrative actions are recorded separately. Rate limits use technical request information and hashed keys; the infrastructure may process IP addresses and other information to protect and deliver requests. This does not automatically make that information anonymous. Access is limited by role. Logging does not guarantee the absence of errors, data exposure or disputes.
Editing, hiding and withdrawal
You can edit public information, hide your profile and withdraw publication consent. Third-party copies, saved materials and search engine caches may remain after a profile is hidden or removed. This does not permit unlawful use or remove the operator’s own duties.
To request access, correction, erasure or withdrawal of a separate permission, use Reports & appeals after signing in, or email gilvem.events@gmail.com without creating an account. Include the relevant link or enquiry number and explain your request; do not attach unnecessary documents. Hiding stops public display but does not immediately erase every administrative record.
Retention, recipients and international processing
Information is used to operate the workspace, handle enquiries and reports, record actions and protect the service. Connected Cloudflare services and ChatGPT sign-in support storage and technical processing; when email delivery is configured, Resend and the agency’s Gmail mailbox are also used. Providers may process information in different countries. Specific hosting regions, international-transfer arrangements and retention periods depend on the final configuration and require separate review. Hiding, removing public material and erasing necessary administrative records are handled separately. Immediate automatic removal of every backup or external copy is not promised. You may request information about retention and recipients at gilvem.events@gmail.com.
Browser settings and the event brief
Language preferences, search settings and an unfinished brief may be saved in the browser for convenience. A brief is added to an enquiry when you choose; entering details and previewing them do not submit it. Optional local GILVEM counters, if enabled, retain aggregate results on the device and do not replace server history. Browser information may be accessible to other users of the device; clearing it does not erase records already saved on the server. Sign-in also uses the authentication provider’s necessary session mechanisms.
