PLANNING / CHOOSING SUPPORT

Do you need an event planner or can you organise it yourself?

The decision depends on complexity and your available time, not simply guest numbers. A small gathering at home may be manageable yourself; several venues, languages and suppliers create more coordination. Between doing everything alone and full event planning, there are useful options for partial or event-day support.

Count the actual tasks and available hours

List venue search, food, programme, equipment, guest communication and event-day questions. Name someone who can handle each task and say when. If everything belongs to one already busy person, the plan is incomplete. Include preparation before guests arrive and work after they leave.

DIY suits a manageable format

One straightforward venue, a small guest list and a familiar programme can simplify preparation. An independent professional might cover a specific task such as photography, food or music. When selecting through a catalogue, you compare providers and agree directly with them; on-site coordination is not included automatically.

A coordinator needs a prepared handover

Event-day support fits when suppliers are chosen, arrangements are clear and a shared schedule can be handed over. Agree when the coordinator joins preparation, the contact list and the limits of the role. Do not expect them to reconstruct undocumented decisions or replace missing equipment within a few hours.

Wider planning support builds a shared system

An overseas occasion, complex business event or wedding across several locations can benefit from coordinated preparation. Before choosing an agency, discuss included work, decision-making and how changes are agreed. Identify the client’s own tasks as well: a planner still needs timely answers to important questions throughout the process.
