How to organise a celebration abroad
Separate three details in your first brief: where you live, where the event will happen and the languages needed. Then confirm the venue, a local coordinator and guest journeys. A client’s home country is not automatically the right location for a supplier; the actual celebration setting matters.

Make the geography unambiguous
A client living in the United Kingdom might be arranging a family milestone in Turkey. State the event country, city, time zone, date range and guest count. Give your own contact time zone separately. For a celebration during a holiday, explain which dates are fixed and which remain flexible.
Specify language for each part
Correspondence, hosting and on-site coordination may require different languages. Decide whether you need a bilingual host or translation for key speeches. Guests at a wedding or family gathering may not share the same fluency. Short, clear announcements can help more than repeating every sentence in full.
Build a local plan you can confirm
Check venue access, technical conditions, equipment and the named event-day contact. For a holiday photography session, agree the meeting point, duration, deliverables and an alternative setting. Guest transfers, cars and water transport belong in the shared transport category, with routes and actual provider conditions confirmed directly.
Keep the event separate from the trip
This brief covers a celebration and its team, rather than booking a package holiday, hotel or flight. Document and registration questions need separate checking for your circumstances. For an outdoor ceremony, proposal or gathering with friends, agree a weather alternative and a reliable way to contact the local coordinator.
Before your next step
- Distinguish the client’s country from the event address.
- List correspondence, hosting and guest languages.
- Confirm the local team and named coordinator.
- Agree routes, timings and an indoor alternative.
- Check your own travel and documents separately.
