Make room for your occasion abroad
A wedding away from home, a proposal during a holiday or a gathering after moving abroad starts with precise geography. Where you live and where the event takes place are separate details. Include both when discussing the team, travel arrangements and preparation schedule.

Build one workable guest journey
Specify the country, city and venue or neighbourhood. Add guest arrival times, travel time and a margin for delays. For an event on the water, ask the operator about the departure port, duration and operating conditions. Guest transfers, cars and water transport belong in the shared transport directory.
- Use local time when giving dates and schedules.
- Allow a break between arrival and the programme.
Align language and the cost breakdown
State which languages you need for correspondence, hosting and guest instructions. Ask for separate amounts for the team, travel, hire and additional expenses, with a currency and pricing unit. Compare the same scope of work. Discuss what changes if weather or travel plans affect the event.
Prepare from a distance
Put guests, priorities, budget and a local contact in a short shared brief. Send GILVEM an agency planning enquiry or look for local photographers, hosts and other independent providers where suitable listings exist. Confirm availability directly. Event preparation does not include selling a holiday package: arrange tickets and accommodation separately.
