SCHOOLS, UNIVERSITIES & GRADUATES

A shared celebration with a clear plan

A graduation, student reunion or parent-group celebration brings together people with different expectations. Start with a small organising group, a transparent budget and a clear decision process. This prevents programme planning from becoming an endless vote on every individual detail.

Give the group comparable choices

Offer two or three formats using the same cost headings: venue, food, programme, technical support and transport. Identify optional extras separately. Establish participant numbers and constraints before asking for quotes. Decide who can agree terms and approve changes on the group’s behalf.

  • Name the budget owner and group contact.
  • Set a deadline for the final choice and attendance.

Plan around age and supervision

For minors, agree adult involvement, handover and the journey home in advance. Discuss access, food requirements and quieter space. A host or entertainer runs activities; supervision and care arrangements need separate agreement. Collect essential information through responsible adults rather than publishing children’s names and contact lists.

Keep the memories thoughtful

Choose music and activities with the participants, leaving time for conversation and photographs. Clarify consent for photography and later image use. Discuss agency planning with GILVEM or select a host, photographer and transport provider separately in the directory. Independent services, prices and routes are agreed directly with those providers.
