PLANNING / VENUES

How to choose a place for a large group

Search around the actual guest count and the way you want to meet: a shared meal, informal conversation or an activity. Floor area alone does not make a venue comfortable. Seating, acoustics, access, food and the journey there and back all affect whether the gathering works.

Describe the gathering before choosing an address

A reunion needs conversation and room to move between groups. An extended-family gathering may need quieter seating and space for children with accompanying adults. A sports club or community group might need an area for a short shared introduction before people break into smaller conversations.

02 /

Compare three kinds of setting

A private restaurant room can simplify catering, but check menu conditions and opening hours. A loft offers flexibility, although furniture, service and cleaning may need separate arrangements. An outdoor picnic requires a practical weather alternative and a comfortable route to that alternative, not just a reassuring promise.

03 /

Check capacity for your actual layout

Request a plan showing your tables, seats and programme areas. Ask about circulation, coats, toilets, steps and quiet conversation. Photographs of an empty room will not tell you how much space remains after adding a stage, sound equipment or buffet tables for the whole group.

04 /

Make arrivals straightforward

Choose someone to greet guests and send clear directions. For a welcome or farewell party, explain whether people can arrive later. If there are several collection points, compare a group transfer with independent travel. Do not promise transport until its route, capacity and timing have been confirmed.
